Management Systems Portal Help

Welcome to the Management Systems Portal (MSP) Help Centre. First, we need to determine what type of help you need:

You’re having problems signing onto MSP

  • You must have a Campus Wide Login (CWL) account. Apply for one here.
  • Your employee ID must be attached to your CWL account. To confirm, log into your CWL account. After providing your employee ID, your MSP access should be provisioned within 24 hours.
  • If you are having password problems, you can reset your CWL password.
  • For new hires only, your hire records must be entered into the Human Resources database (HRMS). To confirm, contact your department. Once your hire records appear in HRMS, your MSP access should be provisioned within 24 hours.
  • If none of the above applies to you, or you’ve tried the above and are still having problems, please contact PeopleSoft Support.

You can sign on, but features don’t work

  • The portal sign-on works and icons/hyperlinks are present, but some/all features do not work.
  • This is usually caused by accessing MSP from a cell network or an off-campus wireless connection.
  • Running the UBC Virtual Private Network (VPN) software will usually solve this problem.
  • Install VPN from here.
  • You must be logged into VPN prior to logging into MSP.
  • If you are terminated or retired, OPT will not work. If you need to submit an expense claim via OPT, then contact us at PeopleSoft Support to get OPT access reinstated.
  • If none of this applies to you, try switching browsers, or cleaning out your browsers cache. Check out this link for help with cache problems.

Self-Service access

  • HRMS Self-Service is used to update your contact information, access your T4, see your pay and Professional Development (PD) balance, Apply for tuition waivers, etc.
  • FMS Self-Service is used to make expense claims via the Online Payment tool (OPT).
  • Access to HRMS and FMS Self-Service are provided automatically for you at point of hire.
  • Check the “Having problems signing onto MSP” section above to solve most self-service access problems.

Self-Service access

  • HRMS Self-Service is used to update your contact information, access your T4, see your pay and PD balance, apply for tuition waivers, etc.

  • Commonly used Self-Service features are available via links on the Home tab.
  • To see all Self-Service options, use the Tabs across the top of the Home page to select HRMS or FMS Self-Service:

Reporting Features

  • HRMS and FMS reporting features can be found on the Reporting tab.
  • This includes HRMS Reporting, FMS Reports Library, nQuery, Dashboard, Hyperion and Integrated Reporting (SERA).

MSP: Management Systems Portal

Your gateway to the administrative systems access noted below.

HRMS: Human Resources Management System

HRMS is the primary source of information for UBC faculty, staff, and student employees in managing HR/salary administration, benefits administration, payroll, position management, recruitment, and workflow rules administration.

FMS: Financial Management System

The university’s financial system for general ledger, accounts payable and financial reporting.

OPT: Online Payment Tool

  • Pay invoices under $3,500
  • Pay PO-exempted invoices
  • Submit your reimbursement claims for out-of-pocket goods and services and travel related expenses
  • Submit a payment request to a third party vendor (CAD & US suppliers only)
  • Reconcile your UBC VISA card or someone else’s card as their Delegate
  • Reconcile your departmental UBC VISA card

SERA: System of Enterprise Reporting and Analytics

UBC’s standard analytical reporting tool that provides a secure, convenient and compliant ability to access enterprise UBC data and is available for use across the university.

VPN: Virtual Private Network

A Virtual Private Network (VPN) connection uses encryption to protect data and prevent others from listening-in on the data that is transferred between your computer and the campus network.

CWL: Campus Wide Login

The Campus Wide Login (CWL) system provides access to many of the University’s online systems, such as the Student Service Centre, Connect, Blackboard Vista, and the Management Systems Portal (MSP).
