Module: Position Management
Page name: Job Description/Ad
Purpose: Used to record the job description text.
Primary user: Recruiter
Workflow: If you click the Submit button, faculty positions are sent to Faculty Relations, M&P descriptions to Human Resources (HR), and BCGEU positions are sent to Okanagan HR. See the button descriptions below for more information.
Used for staff: Yes – The job description is divided into several paragraphs. The paragraphs containing education, work experience, and skills are automatically brought forward from the Qualifications Tab and can’t be changed on this tab.
Used for faculty: Yes – The job ad is entered into a single large text box.

Description
H.R. (Human Resources) Review Log Ref   Y This field only appears for staff positions. If this position has previously been classified by Compensation (in HR), it would have been assigned a classification number. Record that number here to make Compensation aware of the previous classification. This will speed up the approval process.
Job Summary   Y Enter a summary of the position.
Staff Job Description Paragraphs   Y Seven paragraphs appear below the Job Summary field representing different components of the staff position. The first six are open for data entry, or you can copy/paste from other documents. The seventh paragraph contains education/work experience and skills that you provided on the Qualifications Tab. If you have copied an existing position, the staff job description paragraphs contain the information from the copied position. The system does not recognize most Word-style formatting, so keep this to a minimum. Click the Print Job Description button at the bottom of the screen to get a preview.
Tip: To spell check your job description components, click the check mark to the right of the component.
Staff Job Description Ad
Job Description/Ad    Y A large text box will appear for a faculty/staff job ad. You can manually data enter the job ad, or copy/paste it from another document. If you have copied an existing job ad, the text box will contain the information from the copied job ad. The system does not recognize most Word-style formatting, so keep this to a minimum. Click the Print Job Description button at the bottom of the screen to get a preview.
Optional HR classification Review   Y This check box appears for staff positions only. If you are creating a staff position that does not normally require HR approval, but you would like HR to have a look at it (i.e., you’re unsure you classified the position correctly), select this check box. The position will be routed to HR via workflow for their review and approval.

Buttons

Note: The buttons available change depending on your security access or the current status of the position.

Button Description
Print Job Description/Ad Click this button if you want to print your job description or ad, or to get a print preview. It is generated as an HTML page which you can print by clicking your browser’s print button.
Submit . . . Depending on which Submit button is available, the appropriate action will be taken. Note: You may see different buttons based on the changes you are making to the position.

 

  • Submit for Dep’t & Central Approval–Position will be submitted for departmental approval first and then central approval, if required.
  • Submit for Central Approval–Position will be submitted for central approval only.
  • Submit for Dep’t Approval–Position will be submitted for departmental approval only.
  • Submit for Optional Central Approval–Position will be submitted for central approval, if desired.
  • Submit for Optional Dep’t Approval–Position will be submitted for departmental approval, if desired.

If any approvals are required, the position will be routed to the department and central approvers as defined in your workflow rules.

Save for Later Click this button if you wish to save the position but are not finished, or don’t want to submit it for approval at this time. You can return later to complete and submit. When you do a save for later, your position will have a draft status.
Cancel/Return Click this button to return to the search list. If you have not saved your position, you will be prompted to make a decision to save or abandon.
