eRecruit enhancements

New features and improved usability

We are pleased to announce enhancements to HRMS. The majority of the enhancements are in the eRecruit software, but there are also a few in Position Management. The enhancements add new features and improve usability for recruiters, applicants and interview team members.

We’re happy to provide you with training videos which summarize and demonstrate all the system enhancements. These videos include audio so you’ll need speakers or earphones. See eRecruit training videos.

The enhancements are being implemented April 11. No existing positions, postings or job applications will be adversely affected.

Summary of eRecruit enhancements

Position management

  • Changed all search list results (ie, VP/Faculty, Dept, Employment Group, job family, etc.) to display the text value alphabetically and then the code.
  • Equity statement for Faculty Job Ad inserts automatically.

Job opening / postings

  • Allow Faculty recruiters to indicate if reference contact information is required from applicants.
  • ‘Other’ posting destination which provides a free-form text box to enter publication name.
  • Ability to upload and store scanned copies of Ads placed in publications.
  • Ability to add a short URL to a paper job ad which directs applicants directly to the posting (already in place). Examples: and

Manage applicants

  • Ability to download applicant list to Excel.
  • Canadian Citizenship status indicated.
  • Hide Priority numbers for all Faculty postings.
  • Comments box for recruiter on Manage Applicants page to assist with categorizing and sorting.
  • Ability to upload references letters which can then be viewed by the interview team.
  • Ability to enter explanatory comments when declining an applicant.
  • Elimination of most duplicate applications.
  • Check boxes for group actions in Manage Applicants page are no longer lost after returning to the page (ie, group emails).


  • Applicants can provide reference contact details for Faculty job openings.
  • Faculty applicants must provide Highest Level of Education and Post-Secondary Education.
  • Ability to withdraw an application (and re-apply if desired).
  • Ability to update resume/CV package submitted.
  • Hide ‘Preferences’ section (desired start date, work days, hours per week, etc.) for faculty applicants.
  • Applicants get error if they answer ‘yes’ to both ‘Are you a Canadian citizen/Permanent Resident’ and ‘Do you have a 900 SIN#’.

Self-service – review applicants

  • Ability to download applicant list to Excel.
  • Preliminary page lists all job openings an interview team member is associated with. Access applicants by drilling into job opening.
  • Link to job posting/ad added.
  • Citizenship status added.
  • Date resume replaced/updated added.
  • Single-click access to uploaded resume/CV.
  • Ability to print bulk resumes, single resumes or resumes for select applicants (with just a few clicks).
  • Ability to turn off email notifications sent to an interview team member when new applicants are routed/shortlisted.
  • Applicant personal information, applicant data, references, applicant questionnaire responses and interview team members’ comments, summarized in one single screen.

Advise your interview team members to use this new and improved functionality to review applicant data, print resumes individually or en masse, rank applicants and see comments from the interview team.
