Newly hired? What you need to know

By now, you would have received an e-mail welcoming you to UBC Hiring Solutions, plus a copy of the details of your first assignment. Use the online orientation below, plus other resources on this page, to get acquainted with UBC Hiring Solutions and the university itself.

Once you’ve settled in, please visit our FAQ pages for more information. Please read about the Time Sheet Portal and each of the following sections completely before moving on to the next.

Time Sheets and Pay days

Please sign in to the Time Sheet Portal with your username and password, which were e-mailed to you at the time of your hiring.

Hours of work

See information about normal work hours, meal and work breaks for your employee group below. For those employees working in other affiliations, we will advise you of your hours and breaks at the time of assignment. 

Minimum hours paid and overtime

Once an employee commences work, they receive a minimum of four hours pay. If less than four hours is worked on an assignment (i.e. temporary asked to leave early), we ask that you advise the department of our four-hour minimum charge. They may not be aware of this provision.

Statutory holiday payment

Pay entitlements will vary based on employment group, affiliations, unions and agreements. Christmas stat holidays are defined as Christmas Day and Boxing Day. See the complete list of statutory holidays

Probation

Employees who are new to UBC Hiring Solutions (regardless of affiliation or union) serve a probationary period of 66 worked days of accumulated service, which helps to determine the suitability of the new employee to the university.

Benefits eligibility

Upon completion of 66 actual days worked (not including statutory holidays, vacation, sick days or weekends) with UBC Hiring Solutions, you may be eligible to apply for basic benefits. They would become effective on the first of the month following your eligibility, and include:

  • Dental
  • Extended Health
  • Employee and Family Assistance Program (EFAP)

    Sick leave

    UBC policy on internet use

    The Internet is to be used for work purposes only. If the Internet is used for personal use, the employee should advise their supervisor that they are on lunch/coffee break. Inappropriate use of the Internet is unacceptable and has lead to termination in some instances.

    Resigning or transferring

    UBC Hiring Solutions (formerly Staff Finders) requires two week notice whether you are resigning or transferring to another department.

    If you are resigning, please remember to keep your address updated with UBC Hiring Solutions and on Self-Serve for T4 purposes.
