Helpful reminders to manage your benefits in Workday

As we head into 2022, we’d like to take this opportunity to provide some helpful Workday reminders related to your benefits plan:

  1. Check your Workday inbox! While you should get a notification to your email, it is important that you check your Workday inbox, just in case you have missed something. If there are any changes to your appointment at UBC, or if you go on leave, return from leave, or even when you apply for something new, like Optional Life insurance or an increase in coverage, you will receive a benefits task in your Workday inbox. These tasks have an expiry date, so it’s important to check your Workday inbox often to ensure you take the necessary action. A missed or uncompleted task can affect your benefits coverage.

  2. Don't forget to update your overage dependent’s student status in Workday. If you have an overage dependent who is still covered under your UBC Benefits plans, you will be required to confirm their details annually, before their birthday. A notification will be sent to your UBC email address, and you will be directed to the Dependents tab of your Benefits Summary in Workday to confirm eligibility.   3. Add or update your beneficiary information in Workday: Life changes in the blink of an eye, and it is not always easy to keep all of our affairs in order. That’s why it is a good idea to regularly review your beneficiaries and ensure that the correct individual(s) or organization will be paid when the time comes.   4. Update your Personal Information. Please make sure your personal information, including emergency contacts and contact information, is up to date. This information helps ensure you are covered. For example, if you have changed your address recently and our benefits provider, Sun Life, receives your old address (they pull the information from Workday every week) and it doesn’t match what your paramedical provider or pharmacy included when submitting a claim, you could be declined. It has been a busy year for HR and the Integrated Service Centre, which provides Workday Support at UBC. In 2022, HR, the ISC, and other departments across UBC will continue to work together to improve our processes and simplify how you access your benefits.
