Change in Workday configuration for Direct Hire reasons

New Direct Hire configuration changes are now live in Workday for both staff and faculty hires. 

These changes have been made to align with UBC’s Employment Advertising Policy (HR11) and requirements relating to Direct Hire. Policy 11 outlines the requirement for posting employment positions.

Staff direct hires

New drop-down values (direct hire reasons) were added last year within the Hire and Add Job Business Processes in Workday to allow the initiator to select why they are proceeding with Direct Hire or Add Job for staff. Starting today, you will also need to select a reason for Change Job.

Faculty direct hires 

Starting September 20, those involved in faculty hires will be prompted to choose a reason code in Workday for Direct Hire, Add Job and Change Job for applicable faculty roles. Within the Additional Job Classifications field, and under the HR Policy 11 section, select which option best describes the situation of this position (refer to Direct Hire into Faculty and Staff Positions and Add Job Workday Knowledge Base resources and onscreen Workday messaging for further details. (Note: you will need to sign in with your CWL to access these pages and will require a VPN connection if you’re working off campus)

If a UBC Employment Advertising Waiver Request Form has been signed off by a Responsible Executive, a copy of the completed waiver form must be attached to the Workday Business Process with the corresponding option selected.
