Helpful reminders to manage your benefits in Workday

When you have a Workday task you should get an email (depending on your settings), but it is still important that you check Workday directly, just in case you have missed something. If there are any changes to your appointment at UBC, or if you go on leave, return from leave, or even when you apply for something new, like Optional Life insurance or an increase in coverage, you will receive a benefits task in your Workday inbox.  

These tasks often have an expiry date, so it’s important to check Workday often to ensure you take the necessary action. A missed or uncompleted task can affect your benefits coverage.

There are two situations where your child between the ages of 19 to 25 is also considered a dependent child and can continue receiving coverage under your UBC benefits plan. In both instances, you will need to be aware of how to maintain coverage and update Workday when necessary. 

1. Under 25, not married and a full-time student as defined by the education institution where your dependent child is a student, attending an educational institution recognized under the Income Tax Act (Canada), not married or in a legally recognized marriage-like relationship and is entirely dependent on you for financial support.
   • You will need to confirm student status along with start and end dates before the end of the month of their 19^th birthday and before the end of their birth month every year while they are in full-time post-secondary studies. Please note that the Student Status end date is the end of the month of your child’s next birthday or the end of the school term in which they complete their studies, whichever is the earlier date.
   • Coverage ends when they turn 25 or complete full-time post-secondary studies, whichever comes first. If they have completed their post-secondary studies, you will need to remove the overage dependent from your benefit plans.
   • If there are any changes, such as your child taking a gap year (non-summer break) or not returning to school, it is your responsibility to make the appropriate change in Workday.

2. The dependent is incapable of financial self-support because of physical or mental disability and Disabled Child Coverage approved by Sun Life. There is no age limit for continued coverage as long as your child is:
   • Diagnosed with a disability before your dependent reaches the age at which the health benefits would typically terminate*; entirely dependent on you for financial support; not married or in any other formal union recognized by law.
   • You can confirm your child’s disability status in Workday. After your enrolment is submitted, you will receive Sun Life’s form to confirm your child’s disability status. Please note that this form must be submitted to Sun Life for approval within 31 days of your child’s coverage ending.

* Health benefits typically terminate at age 19 if your dependent is not a full-time student or at age 25 if your dependent is a full-time student. In order to receive continued coverage for your disabled dependent, Sun Life must be notified 31 days prior to your dependent reaching age 19 if they are not a full-time student or 31 days prior to them no longer being a full-time student or reaching age 25, whichever is earlier.   

Please make sure your personal information, including emergency contacts and contact information, is up to date. This information helps ensure you are covered. For example, if you have changed your address recently and our benefits provider, Sun Life, receives your old address (they pull the information from Workday every week) and it doesn’t match what your paramedical provider or pharmacy included when submitting a claim, your claim could be declined.
