Managers of Hourly Employees: Manual calculation of Nov 11 Stat Holiday Pay required by Nov 23

The following message was sent to managers of hourly employees on November 17 by Kent Matthewson, Business Analyst, Payroll, IRP.

Manual Calculation of Hourly Employees - Nov 11 Stat Holiday

Hourly workers are entitled to statutory holiday pay if they meet certain thresholds (e.g. worked at least 15 days in the past 30 days). For the November 11 statutory holiday, we don't have the necessary 30 days of history to make appropriate calculations in Workday. The good news is that going forward Workday will do these statutory holiday calculations automatically.

Action required by Monday, November 23

For any hourly employee that is entitled to statutory holiday pay, we are asking managers / administrators to manually calculate the number of hours of statutory pay and submit a completed Timesheet Template to the Payroll office. For the next pay date of November 30, we need your help to complete the following steps: 

Step 1

Download the Timesheet template from the Finance website. Use password: hourlypayroll2020

Step 2

Manually calculate statutory holiday pay for hourly workers by using this Statutory Holiday Pay guide (PDF).

Step 3

Complete Timesheet template. Make sure to include the Workday Position Number of the employee. Ensure you flag hours as follows (earnings code):

  • Student:    HOLSTU
  • Staff:      HOL

Step 4

Submit the completed Timesheet Template to the Payroll Office (payroll.continuity@ubc.ca) by Monday, November 23 to make it in time for the November 30 pay date. Any submissions received after November 23 will go on the next pay on December 15.
