Background check request process moving to Workday

The method to request a Sterling background check during the Recruitment or Direct Hire process is moving into Workday in early 2026. 

In September 2025, a process was introduced for conducting background checks for certain UBC positions that require it, depending on the nature of the work performed.

The current process for requesting a background check through UBC’s external provider, Sterling Backcheck, involves working with your HR advisor and filling out a PDF form. This existing process will be replaced by an automated request system and form in Workday to seamlessly integrate the request step within the hiring process.  

This change will bring more formality and clarity to when a background check should be requested during a hire process, as well as highlighting when language regarding a background check should be added to a job posting and employment agreement.

This upcoming change is being developed in partnership between UBC HR and the Integrated Service Centre (ISC). Details of the change, including links to relevant Workday Knowledge Base resources, will be published on Workday This Week and the UBC HR website in early 2026.
