At UBC, personal information is everywhere and protecting it is a shared responsibility.
Starting in September faculty and staff who access Workday will be periodically reminded of and required to agree to Workday Acceptable Use terms upon login. While your system access is based on your role and responsibilities, it’s important to access information when you have a specific business need.
Examples of appropriate use:
- Viewing an employee’s profile page.
- Viewing an organization chart.
- If you are a recruiting manager, recruiter, or member of a search committee, reviewing candidate lists and information.
Examples of inappropriate use:
- Viewing another employee’s birth date, home address, or other personal information.
- Without an appropriate business reason, viewing the compensation or compensation history of another employee.
- Without an appropriate business reason, viewing the personal contact or emergency contact information of another employee.
University systems, such as Workday, are provided for business purposes and your use is subject to University policies and statutory requirements including but not limited to Information Systems Policy (SC14) and associated Information Security Standards, Conflict of Interests and Conflict of Commitment Policy (SC3), and The Freedom of Information and Protection of Privacy Act.
