A worker location information cleanup project is currently underway – HR admins are asked to ensure the worker location of their staff is up to date in Workday.
It has been identified that the worker location information of UBC employees in Workday is not consistent and not always correct. A cleanup project is currently underway to ensure that all information pertaining to an employee’s location is up to date in Workday. This information is generally set up when a new employee is hired at the 'position creation’ phase but can be updated at any time.
This cleanup project is running between November 1, 2024 – January 31, 2025.
Why this is important
It is important to have correct, updated and consistent worker location data in Workday for reporting purposes and in case of emergencies, and not having correct information can have negative downstream effects on various UBC processes.
How to update worker location info
HR admins are asked to run reports to determine which employees have an incorrect worker location assigned in their Workday profile. Then, you may use one of two approaches to update the worker's location information — either update each profile manually or via a bulk request spreadsheet through the Integrated Service Centre (ISC). See the available toolkit mentioned below for more information on the exact process and approach.
Note: the employee location information should be set at the ‘building’ level. Any employees that have their location set at the ‘floor’, ‘room’ or ‘campus’ level need to be corrected. For example, the location should be set as ‘Technology Enterprise Facility 3 (TEF3)’ (building name) and not ‘600’ or ‘6th floor’ (room number or floor).
