Hybrid Work FAQ
Review frequently asked questions for Hybrid Work at UBC.
Q: I had a previous agreement in place prior to the new Hybrid Work Agreement – when do I have to complete a new one?
A: All eligible staff who wish to participate in the hybrid work program at UBC must complete the Hybrid Work Agreement, including those who already had a previous agreement in place prior to July 24, 2023.
Please review your agreement annually, and if any changes to your hybrid work schedule are needed, please update accordingly through Workday following the step-by-step instructions available in the Request Hybrid Work Agreement Workday Knowledge Base Article (CWL required).
The Hybrid Work Agreement replaced the previous Hybrid Work Request and Work Area Safety Assessment. The new agreement is simpler and aligns with UBC’s ongoing hybrid work program. It combines key elements of previous forms and provides a single unified workflow.
Q: How do I complete a Hybrid Work Agreement in Workday?
A: See Request Hybrid Work Agreement in the Workday Knowledge Base (CWL required) for step-by-step instructions for completing the new Hybrid Work Agreement in Workday.
Q: Are faculty part of the hybrid work program?
A: While the Hybrid Work Program applies to staff, faculty members who have always worked both on and off campus in fulfilling the commitments associated with their roles will continue to manage their work agreements based on collegial discussions with their Heads, Directors, and Deans, outside of the Hybrid Work Program.
However, it is important for faculty members and academic leaders to mirror the principles and guidelines of the Hybrid Work Program in their decisions, notably those that support wellbeing and equity, diversity, and inclusion.
Q: The hybrid work principles state that 100% remote work is not allowed at this stage of the program, however, I have an approved accommodation that requires it. How will that apply?
A: Where someone has an approved accommodation covered under a protected human rights ground (medical or other), the Hybrid Work Program will be modified as appropriate to meet the requirements of the accommodation and may be revised as those requirements change. All other guidelines of the Hybrid Work Program will continue to apply.

Determining modality of instruction
The unit head’s process for determining the modality of instruction for a course includes:
- collegial discussion between the head (or designate) and faculty member, both collectively and individually, and
- is aligned to the language of the collective agreement.
The process of collegial discussion is similar to the way teaching duties are determined and allocated by heads each year.
