New student hiring process in effect

Following the recent freeze on some student hiring transactions in Workday, student hiring has reopened.

A reminder that any transactions that were not completed by January 23 were cancelled to prevent duplicate records, and need to be restarted.

The freeze allowed for the successful migration of student records from our Student Information System to Workday. With important student data now available in Workday, a new process has been designed to streamline the student hiring process for administrators.

New hiring process

Going forward, when hiring for any position – student, faculty, and staff – hiring managers will need to check if their candidate has a student record in Workday to prevent creating duplicate records.

The new student hiring process is designed to streamline hiring for current students. To start the hiring process, you will search for the student’s record directly in Workday using their Student ID number, reducing the amount of data entry required during the hiring process and bypassing the DeDupe step.

Please refer to Workday this Week for resources on the new student hiring process and other updates to the Workday Knowledge Base.

Furthermore, while most student records have been added to Workday, a small number of records (approx. 1,000) need to be added during February. This will not require an additional freeze but will require patience from the community.

If you are hiring someone you believe should have a student record in Workday but cannot find their record, please review the Changes to hiring with student records now in Workday, as was shared in Friday’s HR Network News.

While this change will be relevant to different people at different times, we hope your teams will benefit from the streamlined student hiring process. We appreciate your patience as we best support the transition to Workday Student.
