Preparing for Workday go-live: Key milestones for Benefits

As part of the preparation for the implementation of Workday on November 2, the Integrated Renewal Program has been working closely with UBC HR to determine a transition plan from current systems to Workday.

Similar to fiscal year end, there will be a number of process cut-off dates in the weeks prior to go-live. You will be required to complete specific actions in line with these dates or follow interim processes for periods where current systems are not available.

Some benefit process deadlines to be aware of:

  • Professional Development (PD) Fund requests: submit all PD requests before October 8. Hold onto your PD requests after October 8 and submit them after November 15.
  • Tuition Waivers:
  1. Credit courses for Term 1 (September to December): submit Tuition Waiver requests for Term 1 through HRMS before October 15. Hold onto your Tuition Waiver requests from October 15 and submit them after November 15.
  2. Non-credit courses: Submit any Tuition Waiver requests for non-credit courses (including UBC Extended Learning and Sauder Continuing Business Studies) before October 15 to avoid delays in registration and approval during tuition freeze dates.
  3. From October 15 until November 15: Submit Tuition Waiver requests for non-credit courses (including UBC Extended Learning and Sauder Continuing Business Studies)  following an interim manual process. Visit HR Tuition Waiver webpage closer to October 15 for more information.

Note: It is recommended to submit your PD and/or tuition waiver credit and non-credit course requests as soon as possible as these dates do not factor in time required for approvals or other internal processes.
