Physical and mental health are key to overall wellbeing, which is why UBC offers a wide range of benefits to support faculty, staff, and their eligible dependents.
With December fast approaching, now is the time to review your benefit claims and spending account balances.
Extended Health Claims deadline
If you have any outstanding extended health claims (everything from healthcare services, medical equipment purchases, hearing or vision care) between January 1 and December 31, 2024, you must claim these reimbursements with Sun Life no later than December 31, 2025.

Dental Claims deadline
To be considered for reimbursement, dental claims must be received by Sun Life no later than one year from the date of service. For example, if you made a dental claim on November 27, 2024, Sun Life must receive the claim no later than November 26, 2025.

Health Spending Account claims deadline
If you are eligible for this benefit, the Health Spending Account (HSA) provides you with an annual credit to pay for certain expenses that are not covered by UBC’s Extended Health and Dental plans. These expenses could include the cost of deductibles or amounts over plan maximums. Your HSA credits are allocated to you, as an eligible member of your employee group. However, you may use these credits to pay for eligible claims for your dependents.
If you have unpaid extended health and/or dental care claims dated between January 1 to December 31, 2025, that you would like reimbursed from your HSA, they must be received by Sun Life no later than March 31, 2026 (that is, 90 days after December 31, 2025). After March 31, 2026, your 2025 claims for extended health and/or dental are no longer eligible for submission under the Health Spending Account plan. Any credits you have remaining can be carried forward and must be used for Extended Health Plan and Dental claims made in 2026.

CUPE 2950 and Management & Professionals: Personal Spending Account
The Personal Spending Account (PSA) provides eligible CUPE 2950 and Management & Professional employees with an annual credit to support a wide range of expenses not covered by the Health Spending Account. If eligible, you can use your PSA to submit claims for yourself or your eligible dependents in categories such as fitness, education, and personal development.
You have 90 days from the end of the benefit year (December 31) to submit a PSA claim for expenses incurred during that year. Visit Personal Spending Account on the HR website for more information.
Health Spending Account and Personal Spending Account Annual Credits
You may carry over any unused annual credits that you receive under the health spending account and personal spending account for one year. Any unused credits from 2024 must be used by December 31, 2025. You can check your spending account balances by logging into the Sun Life plan member site.
Keep your information up to date
As we approach 2026, it’s a good time to review your benefits and ensure your information is current. Have your dependents changed—perhaps someone graduated or there’s a new addition to your family? You can also revisit your optional benefits, including Optional Life insurance for yourself and your spouse.
<Call out box> If you have a dependent who is over 19 and attending a post-secondary institution, keep an eye out for a benefits task in your Workday inbox to confirm that they are still attending school. You must confirm this annually, and the notification of the task is sent at the beginning of the month of your dependent’s birthday. If you don’t complete the task by the deadline, benefits will be terminated, and you will have to re-enrol your dependent. <Call-out box>
